Details:
Data entry, editing/updating documents and databases, proofreading, scheduling appointments and sorting/processing mail.
Create and/or revise documents such as correspondence, templates, reports, presentations, an inventory.
Responsible for maintaining adequate inventory of offices supplies and equipment maintenance.
Maintain the reception in a tidy and presentable manner.
As directed, monitor and coordinate activities with clients, contractors, other consultants.
Issue contracts, letters of intent, purchase orders or other supporting project documents.
Respond to telephone, e-mail, and in-person inquiries from clients, or other parties and refer inquiries to the appropriate individuals.
Provide a professional and friendly welcome in receiving visitors on behalf of the company.
Communicate effectively with clients, employees and external contacts to maintain the company’s reputation for quality and commitment to service.
Take and record telephone, e-mail, or written message for staff members.
Administer and manage inbound or outbound mail, including priority post, packages, courier services, and other correspondence.
Keep updated on company projects/activities to respond to and provide callers with current information.
Able to maintain filing systems and basic databases.
Preference for experience working in an independent business environment and/or the construction industry.
Proven ability to work effectively both independently and in a team based environment
Demonstrated willingness to be flexible and adaptable to changing priorities
High school diploma or GED, or an acceptable combination of education and experience.
Strong customer service orientation and superior telephone skills.
Good interpersonal and customer service skills, both internal and external to the business, ability to effectively communicate with individuals at all levels.
Good organizational skills with the ability to multitask.
Excellent oral and written communication skills, able to take limited direction and follow verbal and written instructions.
Experience and ability to use computer software, including word processing, spreadsheets.
Must be very experienced with MS Office suite of products. (Word, Excel, Outlook and PowerPoint).
Able to write simple correspondence, including memos, letters, etc.
